GENERAL

What is Polka Dot Trot?
The Polka Dot Trot is the Dr. H. Bliss Murphy Cancer Care Foundation’s signature event designed to support and to uniquely connect those affected by all forms of cancer.  This event is focused on cancer patients, survivors, families, friends, cancer care professionals of all ages and abilities.  Together, we will walk to improve cancer care in our province.

When and where is The Polka Dot Trot happening?
The Polka Dot Trot will be held on Sunday, September 22, 2019 and will begin at the Newfoundland Labrador Sports Centre on Crosbie Road in St. John’s.

Who is organizing this event?
A volunteer committee comprised of leaders in our community are leading the event to success. These individuals are passionate about cancer care and their involvement with The Polka Dot Trot. They are supported by a project team of staff from the Dr. H. Bliss Murphy Cancer Care Foundation.

DONATIONS

Where will the proceeds go?
Funds raised through The Polka Dot Trot will stay in the province and support patient programs at the four Cancer Centres in Newfoundland Labrador – St. John’s, Gander, Grand Falls-Windsor and Corner Brook as well as the other chemotherapy delivery sites throughout the province.  All funding will say in our province. Are donations tax deductible?
Yes. Donors who pledge $20.00 or more will receive an official receipt for income tax purposes from the Dr. H. Bliss Murphy Cancer Care Foundation. Online donations will be acknowledged immediately with response email and attached receipt.

Can I make a donation using cash or a personal cheque?

How do I find a friend, family member or colleague to sponsor?
If you want to make a donation in support of a friend, family member or colleague who is participating in The Polka Dot Trot, Click on the "Sponsor Participant" button on the top of the home page.

Can I support a team instead of an individual participant?
Yes, to make a donation to a team, click on the “Sponsor a Team” link in the left-hand menu and choose the team you wish to support.

REGISTRATION

What am I committing to when I register as a Polka Dot Trot participant?
Registering as a participant in The Polka Dot Trot means you are investing your time, effort and creativity into fundraising $250.00 in support of cancer care in our province.  You are also committing to bringing your excitement and energy to The Polka Dot Trot on Sunday, September 22, 2019.

What am I committing to when I register as a Polka Dot Trot Team Captain?
Registering as a Team Captain for The Polka Dot Trot means that you are committing to rallying the troops.  Your goal is to recruit members to your team and motivate them to fundraising to met the Team's goal.  Teams can be as small as two people or as big as you like.  One of the benefits of creating a team is that you can raise money together through group activities and events and then combine the proceeds. The website is also set-up to accept individual or team donations.

Is there a minimum or maximum number of people who can form a team?
No. A team can be as small as two people and as big as you'd like. There’s power in numbers!
 
Why are you charging a registration fee?
The registration fee is a demonstration of participants' commitment to support the cause and to attend The Polka Dot Trot on Sunday, September 22, 2019.  In return for the $20 non-refundable registration fee, participants will have access to fundraising tips and tools and they'll have an opportunity to be rewarded with prizes and other goodies on event day.

How can I register off-line? Or I don’t have a credit card, how can I register?
If you don’t have a credit card and/or don’t want to register on-line, please print off and complete this Participant Registration Form.  Please send this to the address at the bottom of the form along with a cheque or money order.  Within five business days of receiving your registration form, you will receive an email including your personalized username and password.

How old do you have to be to participate in The Polka Dot Trot?
Anyone under the age of 18 will be required to have their parent or guardian sign Waiver and Release of Liability on their behalf as part of the pre-event check in.

FUNDRAISING

Can we raise money as a team or only as individuals?
Money can be raised individually or as a team. If you're raising money as a team, an equivalent of $250.00 per person must be raised by the team in order for all team members to participate. One of the benefits of creating a team is that you can raise money together through group activities and events then combine the proceeds. The website is set up to accept individual or team donations.
 
How do we turn in funds raised through group or team fundraising?
As per Canada Revenue Agency guidelines, funds raised through group or team fundraising activities such as bake sales, auctions or like events are not tax receiptable and therefore should not be entered online. Please call 709-777-7908 or email info@cancercarefoundation.nl.ca for more information about how to submit these types of donations.
 
How do I ensure my donors receive income tax receipts?
Donors who pledge $20 or more will receive an official receipt for income tax purposes from the Dr. H. Bliss Murphy Cancer Care Foundation. 
For simplicity, strongly encourage your donors to pledge you through The Polka Dot Trot Website. It is safe and secure. Donors will automatically receive an email reply which contains a link to their income tax receipt, which they can print off immediately.
 
If your donors support you with a cash or cheque donation, consider using your credit card to process these donations. You can pay yourself back right away with the funds received and if the donor wants an income tax receipt, simply fill out the donor section of the online form with their info and the billing section with your info. Alternatively, you can print and complete a PLEDGE SHEET in full for every cash or cheque donation you receive. This is a must if the donor wants an income tax receipt.  Be sure all donations are clearly marked as belonging to your participant account.  Please roll your coin donations before dropping them off.

Regular office hours are 8:30am to 4:00pm, Monday to Friday.

In order for your donations to be added to your on-line account before the event, please drop off funds BY MONDAY, SEPTEMBER 16, 2019.  Any donations received after this date may not be added to your account before event day.  Any other donations must be brought with you to event registration. Be sure all donations are clearly marked as belonging to your participant account.

How can I update my on-line fundraising total to reflect the cash and/or cheque donations I have received?
In order for your on-line fundraising account to reflect the cash and/or cheque donations you received, you must submit these funds to the Dr. H. Bliss Murphy Cancer Care Foundation.  Your on-line fundraising total will be updated within 10 business days after your cash/cheque donations are received.

EVENT DAY

Where will we be walking?  What is the 5km route?
The Polka Dot Trot will leave the Newfoundland Labrador Sports Centre on Crosbie Road and come down Columbus Drive onto the Prince Philip Parkway and loop around the Health Science Complex where the Dr. H. Bliss Murphy Cancer Centre is located.
We will end and gather at a far end parking lot at the Health Sciences where all participants will be bussed back to the Newfoundland Labrador Sports Centre for the closing ceremonies of the event.

Can I participate if I have a disability or medical condition?
The Polka Dot Trot is designed to be accessible to everyone who would want to participate. We do however recommend and strongly encourage that if you do have any health or medical concerns that you do seek the advice and approval of your medical practitioner prior to registering to participate.  There will be medical personnel on hand along the route.

Are you providing food?
Refreshments will be provided during closing ceremonies once we arrive back at the Newfoundland Labrador Sports Centre.

What happens if the event is cancelled due to weather?
The Polka Dot Trot will go ahead rain or shine!  In the case of inclement weather, we ask that you bring along a pair of indoor sneakers in the event of inclement weather, The Polka Dot Trot will take place inside the Newfoundland Labrador Sports Centre where only indoor footwear is permitted.

VOLUNTEER

How do I register to be an event volunteer for The Polka Dot Trot?
We will need a volunteers to make The Polka Dot Trot a success.   If you are interested in volunteering you can sign up under the volunteer section of the website.  There you will also see the different volunteer opportunities available.  Thank you for your interest in becoming a Polka Dot Trot volunteer!

What training will volunteers receive?
Volunteers will be given a detailed job description outlining their roles and responsibilities for the day.  Volunteers will also be invited to attend one of the volunteer orientation sessions in mid-September where they will receive more information.  Volunteers will also require to completed this Waiver and Release of Liability.
